RufLab processes call data on your behalf and takes every practical measure to keep it secure. This page explains where your data lives, how it is protected, who can reach it, and what steps you can take to manage it yourself.

Where your data is stored

All RufLab data — including call transcripts, caller information, and account records — is stored exclusively on servers located in Germany. The infrastructure is hosted within the European Union and your data never crosses EU borders. RufLab uses ISO 27001 certified server infrastructure, which means physical and electronic access to servers meets internationally recognized security standards.

Encryption in transit and at rest

RufLab protects your data at every stage of its lifecycle:
  • In transit — all connections between your browser, the RufLab app, and our servers are secured with TLS/SSL encryption (HTTPS). Data moving between servers is encrypted in the same way.
  • At rest — call transcripts, caller records, and account data stored on RufLab servers are encrypted at rest, so raw data is never accessible without proper authorization.

Access controls

Only authorized users on your RufLab account can access your call data. Access is tied to your account credentials. RufLab staff access to customer data is restricted to what is strictly necessary for operating and supporting the service, and is governed by internal access control policies aligned with ISO 27001 requirements.

Call recordings and transcripts

When your AI assistant completes a call, RufLab generates a structured transcript and stores it in your dashboard. You can:
  • View transcripts and call summaries at any time in the RufLab dashboard
  • Export individual call records or bulk exports in structured formats
  • Delete specific calls or all call history from your account settings
Transcripts are retained for the duration of your active subscription. When you close your account, call data is deleted in accordance with GDPR requirements and applicable German statutory retention periods.
Review your data retention settings in the RufLab dashboard under Settings → Data & Privacy. You can adjust how long call transcripts are kept before automatic deletion to match your own data minimization policy.

Managing your data in the dashboard

Your dashboard gives you direct control over the data RufLab holds for your account:

View call data

Navigate to the Calls section to browse transcripts, summaries, and timestamps for every call your assistant has handled.

Export your data

Go to Settings → Data & Privacy and select Export data to download your call history and account data in a machine-readable format.

Delete call records

Select individual calls and choose Delete, or use the bulk deletion option to remove all records for a given period.

Close your account

Closing your account triggers deletion of all personal data not subject to statutory retention requirements. Contact RufLab support to initiate account closure.
