How filtering works

RufLab answers every call

No call goes to voicemail or reaches a busy signal. RufLab picks up immediately, greets the caller professionally, and asks for their reason for calling.

The call is evaluated against your rules

RufLab checks the caller’s identity, the time of day, the keywords in their request, and any department or category rules you have configured. Within seconds, it determines how the call should be handled.

The right action is taken

Depending on your rules, RufLab either handles the call automatically (answers a question, books an appointment), forwards it to you with a brief announcement, routes it to a specific colleague or department, or logs it for you to review later.

Everything is recorded in your dashboard

Every call — whether forwarded, handled, or filtered — appears in your dashboard with a summary of who called, when, what they wanted, and what RufLab did. No call is ever lost.

Filtering rules you can configure

You control which calls get through and how. Rules can be based on:

Caller identity

Recognise specific numbers — allow VIP clients through immediately, block known spam numbers automatically.

Time of day

Route calls differently during business hours, evenings, or weekends.

Keywords

Detect what the caller says — filter by topic, department request, or specific phrases.

Department or purpose

Route sales enquiries, support requests, and billing questions to different people or queues.

VIP caller lists

You can add specific clients or contacts to a VIP list. Calls from VIP numbers receive priority routing — they are forwarded to you directly, even outside business hours if you choose. This ensures your most important relationships are never left waiting.

Blocking unwanted calls

Sales calls, cold outreach, and spam are intercepted automatically. RufLab handles these calls without forwarding them to you, and logs them in the dashboard if you want a record. You never have to listen to them.

How forwarded calls are announced

When RufLab does forward a call, it briefly announces it before connecting: for example, “A customer is calling about an invoice.” You hear the context before you decide whether to accept. If you are unavailable, the call is logged and a callback request is created in your dashboard.

Emergency detection

If your business operates in a field where callers may describe medical emergencies or urgent safety situations — such as healthcare, property management, or home services — you must configure emergency keywords in your dashboard. Without this, RufLab cannot distinguish an urgent call from a routine one and may handle it automatically instead of escalating it immediately.
RufLab scans conversations in real time for keywords you define as critical — for example, words associated with chest pain, bleeding, or other urgent situations. When a match is detected, the call is forwarded to you immediately, regardless of time or other filtering rules. You can also configure an SMS alert as a fallback if the forwarded call is not answered.

Filtered calls in the dashboard

Calls that are handled or filtered — rather than forwarded — are not simply discarded. Each one appears in your dashboard with a full summary: caller identity, timestamp, what they said, and what RufLab did. You can review them at any time, respond to callback requests, and adjust your filtering rules based on what you see.
