Every call handled by RufLab generates a structured record: who called, when, what they wanted, and what the outcome was. By connecting a CRM, that record flows into your existing system the moment the call ends — no copy-pasting, no missed notes.

Creates or updates contacts and logs call activity automatically after every call.

Adds activities, updates deal stages, and keeps contact records current without manual input.

Pushes call records directly to your Salesforce org, linked to the matching contact or lead.

Triggers a scenario on every call so you can chain actions across hundreds of other apps.

Fires a webhook on every call to start self-hosted automation flows.

Slack

Sends a notification to a chosen Slack channel when a call comes in or ends.

Google Sheets

Appends a new row with call data after every call for easy reporting and export.

WhatsApp

Forwards call summaries or important alerts via WhatsApp.

What gets synced

When a call ends, RufLab writes the following data to your connected CRM:
  • Caller name (if identified)
  • Phone number
  • Date and time of the call
  • Topic or reason for the call
  • Outcome (e.g. appointment booked, callback requested, question answered)
All of this is captured during the conversation and structured automatically — there is nothing for you or your team to fill in afterwards.

How to connect a CRM

Open the integrations section

In the RufLab dashboard, click Integrations in the left sidebar.

Choose your CRM

Select HubSpot, Pipedrive, or Salesforce from the CRM section.

Authorise access

Click Connect and follow the OAuth flow for your CRM. RufLab requests only the permissions it needs to create and update records.

Map the fields

Review the field mapping to confirm where each piece of call data should land in your CRM (contact, activity, deal, etc.). Adjust if needed to match your pipeline structure.

Save and make a test call

Click Save. Place a test call to your RufLab number and verify that a new record appears in your CRM.
For more complex scenarios — for example, sending a follow-up email, creating a task for a sales rep, and logging the call to a spreadsheet in a single flow — connect Make.com or n8n. Both platforms let you build multi-step automations triggered by a RufLab call event, without writing any code.

Communication and productivity tools

Beyond CRMs, you can connect RufLab to the tools your team uses day to day:
  • Slack — Get a notification in a Slack channel whenever a call ends, including a summary of the conversation.
  • Google Sheets — Build a running call log with one row per call, ready to filter, share, or export.
  • WhatsApp — Route call summaries or urgent alerts to a WhatsApp number or group.
  • Google Drive — Store call transcripts or documents in a shared Drive folder.
All of these are configured in the dashboard the same way as a CRM — select the tool, authorise access, and RufLab handles the rest.
