Getting RufLab live takes less than an hour from signup to first real call. This guide walks you through every step: creating your account, configuring how your assistant behaves, connecting your phone number, and going live. You do not need any technical knowledge or special hardware — everything runs in your browser.
RufLab offers a 14-day free trial with no credit card required. You get full access to all features during the trial so you can test the assistant with real calls before committing to a plan.

Create your free account

Go to app.ruflab.com and sign up for a free trial. No credit card is needed. You will have access to all features for 14 days.Once you are in the dashboard, you can follow the onboarding flow or jump straight to the configuration steps below.

Configure your call logic

In the dashboard, open Call Logic to define how your assistant handles incoming calls. You can set:
  • How the assistant greets callers
  • Which questions it answers automatically (based on your FAQ and business information)
  • When it books appointments versus takes a message
  • Which call types get forwarded directly to you or a team member
  • Real-time escalation rules for emergencies
No coding is required. All rules are set through a visual interface.

Choose your voice and tone

Open Voice & Tone in the dashboard and select a voice that fits your brand. You can:
  • Choose from professional German voices
  • Set the greeting text callers hear when they connect
  • Define the conversational style — formal, friendly, or industry-specific
  • Adjust the language your assistant defaults to (30+ languages are available)

Connect your phone number

You have two options for connecting RufLab to your phone:Option A — Use your existing numberSet up call forwarding on your current number so calls are redirected to RufLab. You keep your existing number and customers see no change. The dashboard provides the forwarding instructions for your phone provider.Option B — Get a new RufLab numberRequest a dedicated number directly through the dashboard. Share this number with customers as your main or overflow contact number.Both options are ready in a few minutes.

Connect your calendar (recommended)

If you want RufLab to book appointments automatically, connect your calendar in the Integrations section of the dashboard. Supported calendars include:
  • Google Calendar
  • Microsoft Outlook
Once connected, RufLab checks your real-time availability and books slots directly into your calendar during the call. Callers receive a confirmation by SMS (€0.15 per SMS) or email.You can skip this step and connect your calendar later if appointment booking is not your immediate priority.

Make a test call

Before going live, place a trial call to your RufLab number from any phone. Walk through a realistic scenario — ask a question your customers typically ask, try booking an appointment, or test what happens when you trigger a forwarding rule.Review the call transcript in your dashboard to confirm the assistant responded correctly. Adjust the call logic or voice settings if anything needs tweaking.

Go live

When your test call looks good, activate your assistant in the dashboard. From this point, every incoming call is handled by RufLab automatically.You can monitor call volumes, review transcripts, and update your call logic at any time from the dashboard at app.ruflab.com.
